We are looking for an Executive Assistant to provide full administrative support to our CEO, as well as support other executives. About the Role
As an Executive Assistant, you will play a key role in ensuring the smooth operations of the CEO Office by supporting the President & CEO with administrative and organizational tasks. You will report to and collaborate closely with the Senior CEO Advisor as well as the rest of the Group Executive Management (GEM), and other key stakeholders to facilitate high-level business activities.
Key Responsibilities
Manage calendars, emails, and meetings for the CEO and other executives.
Plan and coordinate travel, ensuring efficiency and policy compliance.
Handle expense settlements and invoice processing.
Prepare agendas, take minutes, and follow up on action points.
Collaborate with key stakeholders on planning, events, and projects.
Support document and Teams site management.
Collaborate with key departments on executive projects.
Develop and maintain administrative routines and procedures.
Who You Are
We are looking for an experienced Executive Assistant who can work independently, manage multiple tasks and stakeholders, and proactively anticipate needs. The ideal candidate is:
Highly organized and detail-oriented, ensuring accuracy in all tasks.
Service-minded and proactive, always thinking ahead and proposing solutions.
Discreet and trustworthy, able to handle confidential information with integrity.
An excellent communicator, with strong English skills (written and verbal).
Can read and understand Norwegian
A team player, but also capable of making independent decisions.
Flexible and adaptable, comfortable navigating change and ambiguity.
Qualifications
3–5 years of experience as an Executive Assistant, supporting C-level executives.
Experienced in working in an international and matrix organization.
Bachelor’s degree in a related field is preferred, but relevant experience can compensate.
Expert proficiency in Microsoft 365 / Office Suite.
